DIVISION Intelligent Exterior Systems

Mission :

To provide comprehensive administrative and generalist HR support to the HR Business Partner. Support projects designed to improve the efficiency of the HR department and co-ordinate and lead departmental administration activities.

Main Accountabilities: 

  • Support administration activities across the HR function including recruitment, training, discipline and grievance etc
  • Coordinate the new starter process including contract and supporting document issue, creation of starter packs and employee folders, maintenance of job descriptions, checking new starter paperwork, entry of new hire information into the relevant systems, issuing clock cards and liaising with payroll
  • Manage ongoing payroll issues including¬† salary changes / leavers / new starters
  • Manage the holiday process including issuing new starter forms and distributing annual holiday forms
  • Manage the leaver process including coordinating exit interviews, issuance of leavers letters and liaising with payroll as appropriate
  • Coordinate the absence management process by verifying for accuracy and timeliness absence paperwork (including return to works and authorized/unauthorised absence forms) in line with the Attendance Policy, ensuring appropriate liaison with payroll
  • Conduct operator and administration interviews with line managers
  • Creation of visitor/contractor door access cards and replacement of employee clock cards
  • System administration and generation/completion of monthly reports e.g maintaining Opteam+ and Mitrefinch with any employee changes and supporting the process of IPI (industrial performance indicator) data entry. Conduct systems audits for data integrity as required
  • Maintain HR records (manual and system based) and periodically archive electronically leaver personnel files
  • Liaise with third party suppliers including occupational health (scheduling appointments for employees with the external physician)
  • Monitor Time and Attendance records and provide advice to managers accordingly
  • Raise purchase requisitions
  • Assume delegated responsibility for certain aspects in the absence of the HR Business Partner
  • HR project work and additional ad hoc duties as required

Competencies & Experience


  • Excellent organisational and administrative skills with good attention to detail and accurate and methodical in data analysis
  • Previous HR experience would be an advantage. Potentially working towards an HR qualification or the willingness to do so
  • PC literate- fully proficient with MS office applications (predominantly Word and Excel)
  • Strong interpersonal skills with the ability to work with colleagues across a variety of functions
  • Ability to prioritize and handle multiple competing priorities
  • A strong work ethic and team orientation
  • Manufacturing experience advantageous but not essential
  • Experience of working with HRIS (Human Resource Information Systems)
