Administration & Office Coordinator, New Energies (W/M) - Zonhoven (BE)

MISSION

Contribute to the development of the ZON team and site by coordinating the daily office activities, ensuring a smooth cooperation between the local organization and the different PO group departments.

 

Responsibilities & Activities

 

Office coordination:

  • Manage office supplies
  • Active role in team activities
  • Organize visitor lunch & hotel bookings
  • Manage mailing activities IN & OUT
  • Motivate, organize, support employee initiatives to improve work atmosphere
  • Manage alarm system & codes


Purchasing and Finance  “point of contact”:

  • Organize and follow up transports

 

Purchasing related:

  • Manage & couple the different documents and info related to purchases
  • Introduce purchasing requests in the system and track specific suppliers deliveries
  • Link delivery notes and purchase orders
  • Finance related: link between purchase orders and incoming invoices


HR “point of contact”:

  • Support HR organization for ad hoc related topics


IT “point of contact”:  

  • liaison between PO IT and Zon on simple topics
  • organize timely arrival of IT equipment for new colleagues
  • manage backup disks of ZON server
  • check and track IT equipment per employee
  • check and manage list of server rights per person


Quality & Safety “point of contact”:

  • Follow up and organize periodic inspections and calibrations with external companies
